Our Commitment

What Is Our Commitment to You?

We are committed to providing high-quality retrofit compliance, training and home energy upgrade services to our clients in Manchester and across the UK. We strive to get things right first time.

However, we recognise that sometimes things can go wrong. If something does, we want to know about it so we can put it right, learn from it and improve our services.

We follow RECC consumer protection standards proactively (RECC accreditation pending). These standards call for transparent complaint handling, clear timelines and access to free, independent dispute resolution where a complaint cannot be resolved directly.
Step 1

How Do You Raise a Complaint?

Contact Us in Writing

Please raise your complaint in writing — written complaints only (no phone complaints) — so we maintain a clear audit trail for your protection and ours.

Email: complaints@compliantretrofits-sprint7-hhdhfcdkaqemgraw.uksouth-01.azurewebsites.net

Write to us: Complaints, Compliant Retrofits Ltd, Unit 26 – Longsight Business Park, 69 Hamilton Road, Manchester, England, M13 0PD

What to include in your complaint

  • Your full name and contact details (email and phone number)
  • A clear description of the issue — what happened, when, and who you dealt with
  • Any relevant dates, order numbers, reference numbers or invoice numbers
  • What resolution you are seeking (e.g. refund, repair, apology, compensation)
  • Any supporting documents (emails, photos, quotes, certificates)
If you need help putting your complaint in writing, call us on 0161 302 1985 and we will assist you.
The Process

What Happens After You Submit a Complaint?

1
AcknowledgmentWithin 3 working days

We acknowledge your complaint within 3 working days of receipt, including your complaint reference number, the name of the person handling it, our complaints timeline, and what to expect next.

2
InvestigationUp to 14 working days

We investigate thoroughly — reviewing project files, communications and site records; speaking with team members involved; inspecting your property if relevant; and consulting external partners (e.g. training providers) if applicable. We may contact you for more information.

3
ResolutionWithin 14 working days

We provide a written response within 14 working days of receiving your complaint — our findings, whether we uphold your complaint, any actions to put things right, any remedy offered, and our final decision.

If we need more time to investigate a complex complaint, we will tell you and provide a revised timeline (typically up to 28 working days in total).
Independent Escalation

What If You Are Not Satisfied With Our Response?

If you are not satisfied with our final response, you may escalate your complaint to an independent dispute resolution or advice service.

We are working towards RECC accreditation. Once it is confirmed, you will be able to access RECC’s free, independent dispute resolution (provided by the Energy Ombudsman) for eligible renewable-energy and energy-efficiency complaints. In the meantime, Citizens Advice and Trading Standards offer free, impartial advice to any consumer.
Energy Ombudsman

Continuous Improvement

How Do We Use Complaints to Improve?

We maintain a confidential complaint log to track all complaints and resolutions. This helps us:

  • Identify patterns or recurring issues
  • Improve our processes and training
  • Monitor our performance over time
  • Reflect the RECC and TrustMark consumer protection standards we work to
Where we participate in schemes such as TrustMark or RECC, anonymised complaint data may be shared for quality assurance and scheme compliance. You can request access to anonymised complaint data. Your personal information will not be shared without your consent.
External Partners

What If Your Complaint Is About an External Partner?

Some services are delivered through our white-label partners (for example ISO certification and specialist training). If your complaint relates to an external partner:

  • We will investigate the complaint on your behalf
  • We will liaise with the external partner to resolve the issue
  • You only need to deal with us — we handle the external partner for you
  • We remain responsible for the overall service delivery
Our liability to you is not reduced because we used an external partner.
Frequently Asked Questions

Complaints — FAQs

Why do complaints need to be in writing?

Written complaints maintain a clear audit trail for your protection and ours, so there is no dispute about what was said or when.

How long do I have to raise a complaint?

We recommend raising complaints as soon as possible. There is no strict time limit, but evidence may be harder to obtain after 12 months.

Can I raise a complaint about work done before I owned the property?

Yes, but we may need permission from the previous owner to access records. Please provide as much information as possible.

What if I am not happy with the Energy Ombudsman's decision?

The Ombudsman's decision is binding on us but not on you — you may still pursue legal action if you are not satisfied.

Does raising a complaint affect my ongoing project?

No. We will continue to deliver your project while investigating your complaint. If you prefer to pause work, just let us know.

Ready to Raise a Complaint?

Please submit your complaint in writing so we can log it and respond within our published timelines.

Phone line is for general enquiries and help putting your complaint in writing — complaints must be submitted in writing.
